Summer has that sneaky way of making everything feel a little more relaxed, doesn’t it?
Your calendar fills up with vacations, half-days, and out-of-office replies. Someone's at a conference. Someone else is taking their first real week off since 2022. And don’t even get me started about all the supervision the kids need. In the summer energy shifts, the pace slows, and before you know it, a few things that should have definitely happened… quietly didn't.
But don’t beat yourself up! It’s not a people problem. It’s a process problem. And the good news is, it's exactly the kind of problem the Workflows in Redtail CRM were built to solve.
The Whole Point of a Workflow
A well-built Workflow isn't just a checklist. It's institutional memory. It's the answer to "wait, who was supposed to follow up on that?" It's what keeps your team moving in the same direction even when half of them are OOO and the other half are covering for the ones who are.
When your processes live in your head, they leave when you do. When they live in Redtail, they don't go anywhere, and that helps keep you on track when you need it.
That's the idea we spent all the last month of May exploring, and we wanted to make sure you didn't miss it.
The Workflow Series: A Quick Recap
Every year we hold our annual month-long Workflow series, and over four sessions in May, our training team walked through everything you need to take Workflows from concept to reality in Redtail CRM. Need a quick recap? Missed out but want to watch? Don’t worry, we got you.
Session 1: Think Before You Build
Before you can build a great Workflow, you need to understand the process behind it: your process. Our first session was all about stepping back, thinking strategically, and mapping out what needs to happen in before anything gets built in the CRM. We covered how to define your firm's processes, the right questions to ask before you start building, and practical techniques for mapping and visualizing your Workflows before you touch a single setting.
Session 2: Building Your Workflow Templates
With your process defined and written out, it was time to bring it to life. The second session in our Workflow Series walked through how to build Workflow Templates step by step in Redtail CRM, how to structure them for consistency and efficiency, and how to set them up in a way that holds up over time. Not just for today, but for every team member who uses them going forward.
Session 3: Taking Workflows Live
Templates are only useful once they're running. In our third session we covered how to apply Workflows in real-world scenarios and where they can be attached across Redtail, including Contacts, Seminars, and Opportunities. The goal was simple: get your Workflows off the whiteboard and into your day-to-day.
Session 4: Automations and Everything Else
The series wrapped up with the part that tends to get people pumped. Automations let your Workflows work smarter by triggering them automatically using simple if-then logic. We covered common scenarios where Automations can save serious time, reduce manual steps, and build the kind of scalable, efficient system that keeps running even when you're not actively managing it.
Why This Matters Right Now
Here's a little secret about summer: it's one of the best times of year to do this work precisely because it feels like the hardest time to do it. Building your Workflows now, before the chaos hits its peak, means your team has a reliable system in place when people start going in and out. It means nothing falls through the cracks when coverage gets thin. It means you come back from your own vacation to a practice that kept humming while you were gone.
That's not a small thing. That's the whole game.
Catch Up or Come Back
If you missed any of the sessions, don’t stress, because they're available on demand for whenever you need. If you watched them already and are ready to take the next step, our training team is here to help you put it all into practice.
You can explore all of our training resources, including free weekly webinars and one-on-one sessions, on our Redtail Training page.
The process doesn't have to leave when your team does. Build it once. Let it work for you all summer long.
